This Privacy Statement outlines how we collect, use and process your personal data and how we meet our legal obligations in doing so. Protecting your data is important to us. We have therefore made it our task to handle your data responsibly, to protect it and safeguard it.

Naturally we comply with the statutory provisions of the General Data Protection Regulation (GDPR), the Telemedia Act (Telemediengesetz, TMG) as well as other data protection regulations.

This Privacy Statement applies to the personal data of visitors to our website – customers, suppliers, applicants and any other persons – and is intended to explain to you, the user, the nature, scope and purpose of the collection and use of personal data on this website by us, as the responsible provider.

We only use this log data for statistical evaluations for the purposes of improving the operation and security of our website as well as optimising our website. However, we reserve the right to subsequently review log data if there is a legitimate suspicion of unlawful use based on concrete evidence.

 

Processing Personal Data

Pursuant to s. 3 para. 1 BDSG, personal data is ‘any information relating to an identified or identifiable natural person’. An identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person. With respect to the business relationship between you and OceanEvent, this includes your name, e-mail address, role in the company and telephone number including extension.

We will only collect, use and/or disclose personal data to the extent permitted by law or if you as a user consent to said data collection.

  • Customer data:
    We use personal information about interested parties and customers to ensure that the contractual agreements between us are executed properly (e.g. for sharing offers) and to ensure a trouble-free business relationship.
  • Supplier data:
    We mainly use personal data about our suppliers to ensure that the contractual agreements between us are executed properly and so that the business relationship runs as smoothly as possible. We also use it to ensure that we comply with legal provisions.
  • Participants’ data:
    We collect, save and use personal data of the participant’s of any OceanEvent charter to ensure that the contractual agreements between us and the particular shipping company as well as involved local suppliers can be executed according to the law.
  • Applicants’ data:
    The reason we use personal information about applicants is to evaluate whether your application to VENDOSOFT meets our vacancy’s requirements. All information available to us about you, your skills and your goals help us to tailor an individual job offer for you.

 

Sharing personal data:

We may share your personal data with the following categories of people, in compliance with local laws and provisions:

  • Tax, auditing or other authorities, if we are convinced in good faith that we are legally obligated to share this data or if we are obligated to do so based on another provision.
  • Shipping companies to which we have to hand over a so-called manifest that shows passport data, adress, phone number, email adress plus further personal data of the participants of a ship charter. According to international marine law, cruise ships are obliged to carry such a manifest on board for every passage.
  • External service providers that provide services in our name (incoming and event agencies, airlines as well as lawyers, auditors and accountants, technical support staff who develop and test our company’s IT and CRM systems).
  • Externally contracted providers of services and storage providers who are subject to a corresponding processing agreement (includes e-mail sending services, letter shops, telemarketing providers).

 

Protecting personal data:

We take all reasonable and suitable measures to protect personal data saved by us from misuse, loss or unauthorised access. This applies to the internal saving in our systems, including protecting our systems from external access, and extends to secured data transfer to the above-mentioned third parties.

 

Establishing Contact

When contacting us (for example via the online contact form or e-mail), your data will be stored for the purpose of processing your inquiry, and in the event that questions should subsequently arise.

 

Newsletter Registration

When you fill out and submit our newsletter web form, you agree that the data you have entered will be transferred to us upon clicking the “Send” button. The data you have entered will be stored and used exclusively for processing your request. Specifically, this means that an e-mail newsletter will be sent to you in irregular intervals (less than one per month), which contains our offer of cruise ships for maritime events, incentives and conferences.

You have the right to revoke your consent to the storage, processing and use of your data at any time with future effect by notifying OceanEvent. Should you revoke your consent, your data will be deleted immediately.

 

Cookies

Cookies are small files that make it possible to store specific device-related information on the user’s access device (PC, smartphone, etc.) in order to improve the user-friendliness of web pages, and to record and analyse statistical data regarding website usage. You can control the use of cookies by changing your browser settings. Most browsers have an option to limit or completely prevent cookies from being saved on your device. It should be noted, however, that the use and especially the convenience of use are limited without cookies.

 

Google Analytics

This website uses Google Analytics, a web analytics service provided by Google Inc. (“Google”). Google Analytics uses so-called “cookies”; text files that are stored on the user’s computer and that make it possible to analyse the use of the website. As a rule, the information generated by the cookie about the use of this website by you, as a user, is transferred to a Google server in the US and stored there. If IP anonymization is activated on this website, however, Google will first truncate the user’s IP address within member states of the European Union or other parties to the Agreement on the European Economic Area prior to transfer. One Last Note

We would like to reassure you that we recognise your data protection rights and that we treat them with the utmost care. However, your data may be collected again via public sources as part of a separate advertising campaign and for us to contact you again – even if you have unsubscribed from our advertising messages.

Our advertising is based on information that we believe is particularly helpful for companies interested in used software and for our customers and suppliers. Should you receive information that you have explicitly not requested – for example if you are shown OceanEvent adverts despite having deactivated advertising cookies – you are not being personally targeted; an anonymous target group is being targeted.
