    A full charter—also referred to as a full-ship charter—describes an event format in which an entire cruise ship is reserved exclusively for a specific group. Unlike a traditional cruise, there are no other guests on board. The ship becomes a private, self-contained venue that combines accommodations, event spaces, dining, entertainment, and changing destinations. All onboard operations and services are tailored exclusively to your program and your guests.

  • How many guests can an exclusively chartered cruise ship accommodate?

    OceanEvent organizes charter events for groups ranging from 50 to 6,000 guests—depending on the ship type and the desired experience. Small luxury yachts and sailing ships are particularly well-suited for intimate events with 50 to 200 guests. Medium-sized ships can accommodate approximately 500 to 2,000 people. On large ocean-going cruise ships, the team organizes events for up to 6,000 guests. River cruise ships typically accommodate between 100 and 400 guests, depending on the ship class.

  • How far in advance should a cruise charter be planned?

    For ocean-going charters, OceanEvent generally recommends a planning lead time of 18 to 24 months. This ensures that particularly sought-after ships, suitable routes, and desired time periods can be secured. River cruises can often be arranged on shorter notice—sometimes within 6 to 12 months—depending on the ship, season, and scope of the event.
    As a general rule: The earlier planning begins, the greater the creative flexibility.

  • What is the minimum duration of a cruise ship charter?

    Due to maritime procedures—such as port scheduling, crew regulations, and embarkation and disembarkation—the minimum duration of a charter is three nights. Most private and corporate charter formats range from four to seven nights. Depending on the itinerary, number of guests, and concept, longer voyages of ten nights or more are also possible.

  • What distinguishes a cruise charter from a traditional hotel event?

    An exclusively chartered cruise ship creates a completely exclusive experience that changes with every destination. While a hotel event remains tied to a fixed location, at sea a format emerges that combines movement, atmosphere, and experience.
    Accommodations, restaurants, event spaces, and entertainment are available exclusively to your group. The ship itself becomes part of the event—not just its backdrop. At the same time, a charter reduces the complexity behind the scenes: instead of having to coordinate multiple hotels, locations, and transfers, a centrally managed, all-in-one experience is created.

  • Who is responsible for ship operations during a charter?

    The shipping company or ship operator is responsible for operational ship management, navigation, and maritime safety throughout the entire charter. OceanEvent handles all event-related services—including program design, guest management, branding, entertainment, cuisine, shore excursions, and operational execution on board. Responsibilities are clearly and transparently defined in the charter agreement before the charter begins.

  • Can routing and procedures be customized?

    Yes. One of the major advantages of a full-ship charter is that OceanEvent develops customized itineraries—outside of traditional cruise schedules. The team of nautical experts and charter cruise designers works with shipping companies and vessel partners to plan customized itineraries tailored to destinations, event formats, and the desired guest experience. This includes port stops, layovers, and arrival and departure times. The final route takes into account maritime regulations, port availability, and the technical requirements of the respective vessel.

  • How are privacy and security ensured during a charter cruise?

    Discretion is an integral part of the concept developed by OceanEvent—with coordinated access points, clear procedures, and, if necessary, additional security measures. Privacy and security are integrated into event planning from the very beginning. Access points, areas, and movement patterns on board are managed to create a protected and discreet environment. OceanEvent works closely with the ship’s security team throughout the entire charter. All participating partners, crew members, and staff are bound by confidentiality agreements. For events with VIP guests or confidential content, additional security measures can be integrated.

  • How is the budget for a cruise charter structured?

    The costs of a cruise charter generally consist of two components: the charter rate for the ship and the budget for event production. The charter costs cover the exclusive use of the ship, including accommodation and defined catering services. The event budget covers, among other things, entertainment, branding, shore excursions, travel logistics, guest management, and project management by OceanEvent. Both areas are presented transparently and separately from the outset. Changes to the scope of services are documented and agreed upon before implementation.

  • What types of events are suitable for a cruise charter?

    Cruise charters are suitable for a wide variety of business and private events. A full charter is particularly effective when the focus is on exclusivity, individuality, and an immersive shared experience. These include, among others, incentive trips, leadership events, corporate anniversaries, product presentations, as well as partner and client events. Private occasions such as weddings at sea, special birthdays, or alumni reunions can also be exceptionally staged on a charter cruise.

    No. Due to maritime operations, charters begin at a minimum of three nights, ensuring privacy, flow and a seamless experience.
